Check the insurer’s requirements first

Before ordering a translation, ask your health or travel insurer which invoice languages it accepts and whether a translation is needed for your claim. If it requests a translation, confirm the target language and whether it requires a sworn translator or another form of certification.

The requirements are specific to the insurer and policy. Ask whether the healthcare provider can issue the invoice in an accepted language, and whether the insurer will cover any translation costs.

Keep the invoice details clear

Check that the invoice is legible and includes the details your insurer asks for. These may include the patient and provider details, treatment dates, an itemised description of the charges, amounts and currency. Ask the provider to clarify missing or unclear information before arranging the translation.

Keep the original invoice and any payment evidence required for your claim. Agree which invoice pages and supporting documents need translating; the required set should follow the insurer’s instructions.

Choose the translation service for your claim

Urgent Vertalen can arrange medical document translations, including the translation of an invoice for an insurance claim. Send the insurer’s instructions so we can quote for the appropriate service.

If certification is mentioned, our sworn and certified translation guide explains the distinction. A translation makes the invoice readable in the required language; the insurer decides whether the claim and translation costs are covered.

Request a clear price and delivery time

Agree which pages are needed, then provide a legible copy and the required source and target languages. Tell us the deadline and whether you need a paper translation, a digital copy or both.

Request your no-obligation quote. Our advisers will confirm the scope, price and delivery time before you order, so you can decide how to proceed with your claim.

Guidance from your insurer

Read your own policy and the instructions for foreign healthcare invoices. As examples of insurer-specific guidance, CZ publishes instructions for claiming healthcare costs abroad (in Dutch) and Zilveren Kruis sets out its insurance policy conditions in English. Check the conditions that apply to your own cover.
