Translating a death certificate

Translating a death certificate. A death certificate – or a statement of death or passing – contains important information on the deceased. It is written proof of death and lists the name, address, place of birth, place of death and date of death, as well as data of the person who reported the death. You need to have a death certificate translated when it’s prepared in a language other than Dutch, and a Dutch authority asks you to provide a certificate in Dutch. When you hold a Dutch death certificate and you need the document for use abroad, a sworn translation is necessary. Various (financial) institutions may ask you to provide a sworn translation of the death certificate after someone passes away abroad. In that case, you need a sworn translation from Dutch into the officially recognised languages of the target country. It may also be the other way around: if you want to use a foreign death certificate with institutions in the Netherlands, the document has to be translated..

Our sworn and expert translators are certified and translate each death certificate in accordance with the highest standards. They have ample experience in translating death certificates, so you may rely on an accurate translation into the desired language. We do not need the original document for an official translation; a scan of the document suffices. Even a photo of the original taken with a smartphone will do. As long as you make sure the entire death certificate is visible and legible, we can get to work. It is written proof of death and lists the name, address, place of birth, place of death and date of death, as well as data of the person who reported the death.

What you need to know about the death certificate

fA death certificate contains all data surrounding someone’s passing. The document is proof that the person has died and sets out the identity of the deceased. It lists the forenames (given names) and the surname, the place of residence, the place and date of death, and the date of birth of the deceased. It also contains data on the spouse of the deceased, if any, the person reporting and the parents of the deceased. The death certificate grants permission for the transport, funeral or cremation of the deceased. What else do you need a death certificate for? E.g. opening a last will and testament, applying for a survivor’s pension for the spouse or next of kin, or to settle the financial affairs of the deceased. In addition, the partner of the deceased needs a copy of the death certificate if they wish to enter into a new marriage or registered civil partnership. If someone passes away not due to natural causes, the attending physician or a municipal coroner will issue a death certificate. That is also called a statement of death or an A form. Every person aware of the death can report this to the municipality. When doing so, the statement of death is handed in.

Based on the report, the death certificate is drawn up by a civil registrar of the municipality in which the death took place. The civil registrar gives ‘leave for burial or cremation’, which allows a funeral to take place. They furthermore communicate the data to the municipal basic records where the deceased is registered, the tax authorities and the provincial records for vaccinations (in the case of the death of children). If a death certificate was drawn up over 50 years ago, this is transferred to the municipal archives.
