If you have a Dutch-language death certificate and need the document for use abroad, a sworn translation is also required. Various (financial) institutions may request a sworn translation of the death certificate following a death abroad. In such cases, the certificate must be translated from Dutch into the official language of the destination country. The reverse also applies: if you wish to use a foreign death certificate with Dutch authorities, the document must be translated.

What you need to know about the death certificate

A death certificate contains all details related to a person’s passing. The document confirms the fact of death and establishes the identity of the deceased. It includes the given names, surname, place of residence, and the place and date of birth of the deceased. In addition, the certificate lists information about the spouse, the informants and the parents of the deceased. The death certificate also grants permission for the transportation and burial or cremation of the deceased. What else might you need a death certificate for? For instance, to open a will, to apply for a survivor’s pension for a spouse, or to handle the financial affairs of the deceased. The surviving partner will also need an official copy of the death certificate if they wish to enter into a new marriage or registered partnership. If a person dies of natural causes, a treating physician or municipal coroner will issue a declaration of death. This is also referred to as a certificate of death or A-form. Anyone who is aware of a death can report it at the town hall. The declaration of death must be submitted there.

Based on this report, the death certificate is drawn up by a registrar of the civil registry in the municipality where the death occurred. The registrar issues a ‘permit for burial or cremation’, which allows the funeral to take place. The registrar also forwards the details to the municipal personal records database in which the deceased was registered, to the Dutch Tax Authorities, and to the Provincial Vaccination Administration (in the case of the death of children). If a death certificate was issued more than 50 years ago, it is transferred to the municipal archive.
